Forms, records and documents

Files and storage

Files are the originals behind a job: photos, PDFs, spreadsheets and supplier documents. For example, site photos from an inspection, or a signed customer agreement. Keeping them in one place means your team and your AI agent can always find the current version, instead of copies scattered across emails and chats.

Find or add a file

  1. Open Files to browse or search the workspace.
  2. If a file belongs to a specific job, check that task too: files are often attached there.

Ask your agent to check first, rather than guessing:

In Forge, find the latest [file name] for [job]. Tell me its workspace path and the task it belongs to.

Before you change anything

Don't assume a file has already been copied, shared or replaced just because it's linked from a task. Before you upload, move or replace a file, ask your agent to check the current version and confirm the safe next step.

Before you upload

Forge stores workspace files in that workspace's own storage, not in chat. Being attached to a task gives it job context: it doesn't make the file public or change who can see it. Check the destination and who has access before you upload, replace or share a file.

Before uploading this file, tell me the workspace destination, who can currently access it and whether this will create a new copy or replace anything.
